  • Provides varieties of technical assistance to team of Engineers / Technologists and other Divisions within the Department;
  • Also provides Archival-Administrative assistance to Engineers / Heads. Prepare independently variety of simple technical drawings and process flow diagrams for all Process Plants;
  • Handles all project related and CDM (Computer Data Management) related documents, keeps records, types memos/minutes of meeting, distribute documents to all concern department/divisions;
  • Generates technical presentation materials for department use to present high-level management;
  • Maintains and updates the Department/Division computer-based data records;
  • Responsible for all CDM and process data input to computer package and computer graphics data, fiscal reports. Responsible to prepare other routine/non-routine technical reports.

Your Tasks

  • Provides technical/administrative back-up services for the Division activities. This includes preparing and updating and safe keeping of Division registers and all correspondence, safety data and audit records. Responsible to maintain the extensive division filling system. This includes the safe keeping of current files and archiving of old files. Keeps updated and operates the system for tracking of archive data to support Department Business activities such as technical studies and audits;
  • Utilizes available graphics and software to prepare slides , reports and overhead projections of drawings, tables, graphs and bar charts for use in seminars, presentations, shutdowns. start-ups, new projects of modifications. Suggests and incorporates changes to enhance presentation graphics, checks visual presentation during dummy runs and corrects as necessary. Extensive usage of Multi-Media, data storage, scanners, printers and data show project with theatrical display, sound and visuals;
  • Logs and checks all incoming mail, locate previous correspondence and reports as required by the section;
  • Carry out Project Document Controller role and responsibility of all CDM and project-related documents received by the department/division. Registers and distributes the documents to all concern department/division, types memos, takes notes during meeting and types minutes of meeting. Maintains the retention of records and coordinates with General Services for document retention/disposal;
  • Ensures that clerical activities related to the documents computerized system and files are carried out in accordance with Department standard procedures. Ensures the system is well maintained and data is backed-up on regular basis;
  • Collects information from appropriate departments/divisions for compilation of various CDM and environmental data, production data etc. Ensures all inputs are available in initial format for review;
  • Maintains, updates, reviews and enhances the Department/Division PC based data records system including inputting routine data entries, processing and compiling of reports, checking formats for correction or improvement and final comparison of all figures prior to producing the numerous verification forms, reports data governance(DG);
  • Prepares standard letters, forms, e-mails, circulars for the Division as directed and type a variety of material such as Memo, letters, Faxes, Circulars etc;
  • Format and prepare new required procedures as guided by Senior Process Engineer. Proof read documents ensuring that all relevant and latest technical and working practices are incorporated into the document;
  • Prepare various ad-hoc Plans, schedules, reports, etc. for the Division as required;
  • Collect the details of plant, facility location, unit/area, key dates of the major activities, resource involved etc., and prepare the report for each project;
  • Provide project details to respective team on a regular basis by gathering input from various departments;
  • Implement project planning, progress control and reporting requirements for the project as per the milestone;
  • Carry out any other relevant jobs assigned by Superiors from time to time;
  • Carries out a variety of the allotted typing of correspondence, reports notes, statements proof reading of completed typing works, sending faxes, receiving faxes, receiving, registering and distributing mail, retrieving and photocopying of documents and other allied clerical works;
  • Re-issue the revised, amended and correctly formatted documents in hard and electronic copy.

Your Profile

  • Completion of Secondary School / Diploma or Bachelor degree in any discipline and proficient Computer knowledge (Word, Excel, and Power Point, Visio, MS Project etc) is required. Good command in English both spoken and written. In House Training – Office Practices and Secretarial;
  • Minimum 10 years office work experience is essential of which 5 years experience in of clerical/supervisory capacity in Technical, Projects, Operations environment. This should involve knowledge of computer equipment used by own section and the different procedures and system employed within the Corporation;
  • Responsible for the preparation and maintenance of all documentation within the Division including leave schedules, annual budget, staff reporting, overtime analysis and the Department Filling System;
  • Adequate knowledge and understanding of the Oil and Gas industry / Project management;
  • SAP working experience in any module will be an added advantage;
  • Good understanding of Quality Management Systems, such as ISO 9001.
