Position Overview
We are seeking a highly organized and proactive Personal Assistant to support our Chief Executive Officer. The ideal candidate will have extensive experience in executive support, excellent communication skills, and the flexibility to adapt in a fast-paced, dynamic environment. This is a hybrid position that allows for remote work from any location, with the ability to travel for short trips as required.
Key Responsibilities
- Executive Support:
- Manage the CEO’s calendar, appointments, and meetings across multiple time zones.
- Coordinate domestic and international travel arrangements, itineraries, and accommodations.
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Administrative Tasks:
- Prepare and edit correspondence, presentations, and reports.
- Handle confidential information with the utmost discretion.
- Assist with expense reporting and basic bookkeeping using Excel and accounting software.
- Communication:
- Draft and manage email communications on behalf of the CEO.
- Liaise with department heads and staff to facilitate smooth internal operations.
- Coordinate and prepare for meetings, including agenda development and follow-up actions.
- Project Management:
- Assist in special projects and initiatives as directed by the CEO.
- Utilize Google Workspace and other collaboration tools to track project progress.
Qualifications
- Experience:
- Minimum of 5 years as a personal or executive assistant supporting senior leadership.
- Experience working in a startup or multinational company is a plus.
- Skills:
- Fluent in English with exceptional written and verbal communication skills.
- Proficient in Google Workspace (Docs, Sheets, Slides, Calendar) and Microsoft Excel.
- Familiarity with accounting software (e.g., QuickBooks, Xero).
- Strong organizational and time-management skills with meticulous attention to detail.
- Ability to multitask and prioritize workloads effectively.
- Other Requirements:
- Ability to work independently in a remote setting.
- Willingness and ability to travel for short trips as required.
- High level of professionalism, integrity, and discretion in handling confidential information.
