The Invoicing Specialist is responsible for handling billing operations related to maritime, road transport, LCL (Less than Container Load), and air freight services. Additionally, they monitor and resolve customer claims related to these services. While focusing on these key tasks, the Invoicing Specialist remains flexible and is prepared to take on additional responsibilities as needed to support the broader needs of the financial department.
Main Responsibilities:
Billing for Services:
- Prepare and verify invoices for maritime, road transport, LCL, and air freight services.
- Ensure the accuracy of documents and rates applied in accordance with customer contracts.
- Address and correct any billing discrepancies.
Customer Claim Follow-up:
- Analyze and respond to customer claims related to billing and services (delays, billing errors, additional charges, etc.).
- Collaborate closely with sales, operations, and customer service teams to resolve issues promptly.
- Provide appropriate solutions based on specific circumstances.
Management of Transport Documents:
- Verify the compliance of transport documents (marine bills of lading, air waybills, road transport documents).
- Ensure all information is correctly entered into the management system.
Administrative Follow-up:
- Keep billing files updated and ensure they are archived according to company procedures.
- Conduct regular checks to prevent billing errors.
- Prepare status reports on outstanding invoices and claims.
Client Relations:
- Provide proactive customer follow-up and maintain a good relationship with clients to resolve their concerns efficiently.
- Provide clear and accurate information to customers regarding billing and claims.
Collaboration with Internal Teams:
- Work closely with logistics, sales, and finance teams to ensure smooth financial and service operations.
- Participate in follow-up meetings with relevant teams to improve processes and resolve recurring issues.
Required Skills and Qualities:
- Technical Skills:
- Knowledge of billing processes in the transport sector (maritime, road, LCL, air freight).
- Proficiency with office tools (Excel, billing management software).
- Understanding of international transport and logistics rules and practices.
- Ability to analyze customer claims and resolve issues quickly.
- Interpersonal Skills:
- Excellent written and verbal communication skills.
- Customer service-oriented, with the ability to handle complex situations diplomatically.
- Detail-oriented, organized, and independent.
Education and Experience:
- Degree in finance, accounting, or logistics management.
- At least 2-3 years of experience in a similar role, ideally in the transport and logistics sector.
